An exciting opportunity has arisen for a Sales & Bookings Administrator at our busy residential conference centre in the heart of Northamptonshire. This is a full time position .

Job Description

Duties & Responsibilities

  • Answering phone calls, taking booking enquiries and responding daily to the lead feed on Venue 360 booking system
  • Checking availability and negotiating pricing packages as authorised Business Manager
  • To obtain and offer any price reductions from the Business Manager or Assistant Director
  • Maintaining accurate up-to-date and comprehensive records of response to all contacts, including logging all telephone calls by using our Venue 360 booking system
  • Building relationship with potential group leaders via email, telephone contact and through site visits
  • Follow up provisional bookings and enquiries on a daily basis
  • Ensure calendar and systems are up to date
  • Update customer booking records
  • Monitor client payments, overdue payments and follow up when necessary
  • Liaise with relevant staff (Hospitality Manager, Conference Coordinators, Hospitality & Catering Administrator and Housekeeping) to ensure clear communication of client requirements and amendments
  • Input financial transactions and pass information to Accounts
  • Ensure final accounts are dealt with promptly and any extras notified to accounts department
  • Preparing statistical documentation for management as requested
  • Working with the Sales Manager regarding planned mail shots and contact with new clients
  • Attend exhibitions and other events in line with scheduled programme to publicise King’s Park Conference Centres and Action Centres UK
  • To be responsible for the running and training on Venue 360
  • To attend Sales and Marketing Meetings
  • To take part in training programmes, as agreed with management
  • To assist in any other related tasks as deemed necessary.

  • Sympathetic and supportive of the Christian ethos of the organisation


  • Experience of working within a sales administration environment
  • Experience of working with booking systems

  • Holds a Business Administration qualification or equivalent
  • Working experience of dealing with customers over the telephone and face to face


The salary for this role is £18,525 per annum.
